> My Account

The sections of the account screen related to the Firm Account.  If you are an administrator user type for your firm you will be able to view and edit this screen .  The screen can be accessed by selecting ">My Account", which is displayed on the upper right on the screen, next to ">Sign Out".  See "Individual Profile" for information on Section 1 of the Account screen.

Note:  If you are a user or viewer user type you are not able to access the firm account page.  When the firm name displayed on the upper right is selected a message will appear at the top stating “Administrator right permissions are required to edit the firm account information”.

Making Changes and > Edit

When you arrive on the Firm Account screen as an administrator you will be in editing mode, and able to make changes to any of the fields. 

After you select SAVE, and the SAVE has completed, the >My Account screen will be in "read only" mode and you are not able to interact with the input fields.  An >Edit button appears in place of the SAVE button on the upper right above the Section 1 header.  When >Edit is selected the screen enters edit mode, and you are able to interact with the input fields.  

SAVE

Changes made on the firm account page will not be associated with the firm account until SAVE has been selected.  There is a "Green SAVE button" on the top right and bottom right of the screen.  If you have made changes and attempt to leave the screen before saving them, a message will be appear asking you to confirm navigation and decide if you want to stay on the screen or leave.  

Section:  Firm Profile

Firm Name

The Firm Name associated with the individual account when it was set up in the AIA 2030 DDx by either a firm administrator or yourself.

Firm ID

The unique Firm ID that was assigned to the firm when it was setup in the AIA 2030 DDx.  The Firm ID is not editable.

Firm Type

A drop down list of selections to identify the type of firm that is reporting, such as Architecture-multi-disciplinary, Design-Build, Planning+Architecture or any of the other options.

Firm Staff Size

A dropdown list of firm sizes ranging from 1 to 1,000+.  The size displayed is either the size selected when the account was set up or the size selected by a firm administrator.

Main Phone

The main ten digit phone number for the firm.

Website

The URL for the firm's main website.

Primary Firm Contact

Name

The name of the individual that is the primary contact for the firm’s AIA 2030 Commitment account with the AIA.  If there are any questions regarding the firm account and/or portfolio or project data, the AIA will contact the Firm 2030 Commitment Administrator first. 

The name displayed is either the one included when the account was set up or the name provided by a firm administrator. The name can be changed by a firm administrator.

E-mail

The e-mail address for the Firm 2030 Commitment Administrator that has been provided by an administrator for the firm.  E-mail will be the primary form of contact from AIA to the Firm 2030 Commitment Administrator.  The e-mail can be changed by a firm administrator.

Direct Phone

The main ten digit phone number for the primary contact.

Other Firm Information

Year Firm Signed into the AIA 2030 Commitment

The calendar year (four digits) that the firm signed the AIA 2030 Commitment and submitted the required information to the AIA.  

What year was the firm founded?

The calendar year (four digits) that the firm was founded.  

Does your firm have a sustainability officer in a leadership position?

A Yes/No selection to indicate if the firm has established a leadership position directly related to sustainability.

Does the firm have staff spending more than 50% of their time on sustainability issues?

A Yes/No selection to indicate if the firm has designated staff that actively work on sustainability for the firm.

Does your firm have dedicated research staff?

A Yes/No selection to indicate if the firm has research staff that research sustainability for the firm.

Section:  2030 Commitment Letter

Being a signatory firm in the AIA 2030 Commitment program requires submitting a 2030 Commitment letter.  A version of the letter can be downloaded by selecting "> Download".  Once a version of the letter has been completed, and can be associated with the firm account by selecting "Choose Files" locating and selecting the file (pdf format only).

Section:  2030 Commitment Signatory

Name

The names (first and last) of the signatories for the firm that committed to the AIA 2030 Commitment Program when the firm signed the AIA 2030 Commitment agreement.  The names can be changed by a firm administrator, but they really shouldn’t change from when the firm setup their account.

E-mail

The e-mail address for the firm signatories.  The signatories will not be contacted directly unless a situation arose where all the other firm administartors could not be contacted.

Section:  Sustainability Action Plan

Another requirement to be an AIA 2030 Commitment Signatory firm is that within one year of signing the 2030 Commitment, the firm needs to develop and upload a Sustainability Action Plan (SAP).  Examples from other firms can be found here.  Once complete, you can upload the Sustainability Action Plan by selecting the "Choose Files" button.  Only PDF file format is accepted. 

Section:  Office Locations

The set of office locations for the firm.  At a minimum, one office location is required to be listed.

Note:  The first office entered will be considered the office headquarters, which will be the default for Office Location for each project.

ADD

To add an office location select the “Plus icon” button located on the bottom left of the section, which will add a row for a new office location at the bottom of the current office locations.

DELETE

The delete icon (circle with an X inside) appears on the far right for each office location row.  Selecting the delete icon will delete that office location from the firm account.  

The office location list is directly linked to the "Office Location" field on the General Inputs screen.  If a project has an "Office Location" associated with it, and that office location is deleted on the >My Account screen, then the "Office Location" associated with that project changes to be the first office location on the list (the Firm Headquarters). 

Prior to deleting an office location you might want to check the number of projects that have that office location assigned to them.  This can be done by going to the Portfolio Screen and doing a search for the office location.

Country

The country where the office is located.  The default is the United States of America, but a country list is available on the dropdown selection.

City

The name of the city where the office is located.  This field is directly tied to the General Inputs "Office Location" field. (See the DELETE description above).

Tip/Note:  The text entered in this field is what is displayed in the “Office Location” input field on the General Inputs screen.  Additional text can be added to the city name, if the firm is interested in including different departments for the same office.  For example text that could be included for a single office with two departments that the firm wants to report separately for would be “Denver-Interior” and “Denver-Education”.

State/Province

The State or Province where the office is located.  Depending on the country selected this field will be displayed as either a drop down list or a manual entry field.  Currently the following countries have drop down lists of states or provinces associated with them:

  • United States of America
  • Canada
  • China (including Hong Kong)
  • India

When other countries are selected this field becomes a manual entry field.  

Zip Code

The five digit zip code for the office location.  For United States of America office locations this is a required field.  For other country locations this field is not required.

Section:  Firm Users

The set of firm users for the firm that are currently associated with the firm account.  At a minimum, one firm user will be associated with the firm account when it is set up (firm 2030 commitment administrator).  Firm administrators can add, delete or change the user type for the firm users.

ADD

To add a firm user select the “Plus (+) icon” at the bottom of the section, which will add a row for a new firm user at the bottom of the current office locations.

DELETE

The delete icon (circle with an X inside) appears for each firm user after more than one firm user is associated with the firm account.  It allows users to be deleted from the firm account, which eliminates their ability to access the firm’s account.

Name

A required field for the name (first and last) of the firm user that has been entered by the firm administrator

User Type

A required field for the selection of either administrator, user or viewer determines the degree of access the user will have. Administrators can edit any screen (firm account, portfolio and project screens), and submit projects for the reporting year.  Users can edit portfolio and project information screens.  Viewers can view project information only.  See User Types in the Help information for additional information.

E-mail

A required field for the e-mail address for the user that has been provided for the user by an administrator for the firm.  This is the e-mail address that the “invitation to the AIA 2030 DDx” e-mail with initial access credentials (username and password) will be sent to, once the new user information has been saved.  The firm administrator (primary contact) will be cc'd on the new user “invitation to the AIA 2030 DDx” e-mail.   The information can be edited by a firm administrator.  

Phone

The phone number for the user that has been provided for the user by an administrator for the firm.  The information can be edited by a firm administrator.

Section:  Reporting Year Log

Maintains a log of the years a firm has submitted a Portfolio.  The reporting year ("Reporting Year"), who submitted the portfolio ("Submitted By"), and the timestamp when the portfolio was submitted ("Submitted At") are included in the section. Only after a firm has submitted the portfolio will a reporting year appear on the log.  If a firm submits projects, those projects are added to the overall database, but they are not recognized on this reporting year log.

Section:  Batch Import Log

The batch import log tracks the batch import activities for the firm.  Batch Import is comprised of two steps - 1) Validate Data; 2) Import Data. The Batch Import screen is displayed when "> Batch Import" is selected.   


Each row contains:

  • a time stamp for when a file was loaded ("Import Date")
  • the name of the user that performed the activity ("User")
  • the reporting year for the set of projects ("Reporting Year")
  • the name of the file that was being utilized ("File Name"), and a link to the file itself
  • the number of projects that were included in the file ("# of Projects")
  • the number of errors that were identified in the process ("# of Rows With Errors")
  • the outcome of the two step process ("Result").  Not Imported means that only validation was completed (data validation report generated), and the link is to the resulting Data Validation Report.  Imported means that both the data validation and import data steps were completed, and the link is to the Batch Import Report.
  • any notes that were associated with the activity (notes)
